Privacy Policy

Last updated:

Family gifts carry personal details by nature: the names of children and grandchildren, a wedding year, the address of a parent who lives alone. This Privacy Policy explains what information Gift Willow collects when you visit giftwillow.shop or place an order, why we need it, who we share it with, how long we keep it and what you can ask us to do with it. Gift Willow is the business responsible for your information. Our address is 2725 E C St, Torrington, WY 82240, US, and you can reach us at [email protected].

Privacy at a glance

  • We collect what we need to make and deliver your order and to help you — nothing more.
  • Names you type for personalisation are used only to make your item.
  • We do not sell your personal information or the names of your family.
  • Payment card details are handled by the payment provider at checkout; we never see or store full card numbers.
  • Photos you send us for a claim are deleted 30 days after delivery.
  • You can ask us to see, correct or delete your information at any time.

1. What we collect

1.1 Details you give us when you order

  • Contact and delivery details: your name, email address, billing address and the shipping address — which is often the address of the person receiving the gift.
  • Order details: the products, sizes and options you choose, and the amounts paid.
  • Personalisation text: the words you type into a product’s fields, such as “Nana”, a list of grandchildren’s names, a family name or a year.
  • Account details: if you create an account, your login email and a password, which is stored in encrypted form.

1.2 Details you give us when you write to us

When you email us or use Submit a Ticket, we receive your email address, your message and anything you attach, for example photos of a damaged ornament.

1.3 Details collected automatically

Like most websites, our server records basic technical information when you visit: your IP address, browser type, the pages you request and the time of the request. These logs help us keep the site secure and working. We do not install third-party advertising trackers or third-party analytics tools on giftwillow.shop at the time of writing.

1.4 Details from payment providers

When you pay, the payment provider shown at checkout processes your payment. We receive confirmation that the payment succeeded, the amount, and limited reference details. We never receive or store your full card number.

2. Why we use it

We do not send marketing emails unless you have asked to receive them, and any marketing email would include a way to unsubscribe in one click.

3. The names of your family

Personalisation text deserves its own section, because it often includes children’s names. We use that text only to make your item and to handle any question or return about it. We do not use it for marketing, we do not publish it, and we do not share it with anyone except the production partner that makes the item. Our live preview runs in your own browser while you type; the text reaches us only when you add the item to your cart and place the order. The “Try a name” box on our homepage is a visual preview only and stores nothing.

4. Who we share information with

We share information only with the service providers that help us run the shop, and only what each one needs:

  • Production partners receive the product details, personalisation text and shipping details needed to make and send your item.
  • Carriers receive the recipient’s name, address and parcel details.
  • Payment providers process your payment under their own privacy policies.
  • Our web host and email services store the site and deliver our emails.

We may also disclose information when the law requires it, or to protect the rights and safety of our customers and our business. We do not sell or rent personal information to anyone.

5. Cookies

Our site uses a small number of cookies that are needed for it to work: to remember the contents of your cart, to keep you signed in if you have an account, and to protect forms against misuse. These cookies do not follow you around other websites. You can clear or block cookies in your browser settings, but the cart and checkout will not work without them.

6. How long we keep information

Retention periods
InformationHow long
Photos you send us (for example of damage)Deleted 30 days after delivery
Order and payment recordsAs long as tax and accounting law requires
Support emailsAs long as needed to resolve your request and any follow-up
Account detailsUntil you ask us to close your account
Server logsFor a limited period, for security

7. How we protect it

The whole site runs over an encrypted HTTPS connection. Access to order information is limited to the people and services that need it to fulfil and support your order. Passwords for customer accounts are stored in encrypted form. No method of transmission or storage is completely secure, but we take reasonable care, and we would tell you promptly if a problem ever affected your information.

8. Your choices and rights

Wherever you live, you can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct information that is wrong, such as a misspelled name or an old address;
  • delete your information, unless we must keep it for legal or accounting reasons;
  • stop any marketing emails;
  • close your account.

Email [email protected] from the address linked to your order or account. We reply within 24 hours on business days and may ask a question to confirm your identity before acting, so that no one else can see or change your details. Residents of some US states, Canada, Australia and New Zealand have additional rights under their local privacy laws; we honour those rights.

9. Sending a gift: the recipient’s details

When you ship a gift to a parent, grandparent or friend, you give us their name and address. We use those details only to deliver that parcel and to handle any return or question about it. We do not add the recipient to any mailing list and we do not contact them for marketing. If the recipient writes to us about the gift — for example to arrange a return — we will discuss the order with them, but we will not show them the price you paid or your payment details.

By entering someone else’s address, you confirm that you are sending them a gift and that they would reasonably expect it. If a recipient asks us to remove their details after the order is complete, we do so unless the law requires us to keep the order record.

10. Guest checkout or an account

You can buy from Gift Willow without creating an account. If you choose to create one, it stores your addresses and past orders so you can reorder or check an order more easily. You can ask us to close the account at any time; your past order records are then kept only as long as the law requires.

11. Emails you can expect from us

12. Browser privacy signals

Because we do not run advertising trackers or third-party analytics on giftwillow.shop, there is no cross-site tracking for a “Do Not Track” or Global Privacy Control signal to switch off. If that ever changes, we will update this page and respect those signals where the law requires it.

13. Things we do not ask for

It can be reassuring to know what a shop does not collect. Gift Willow does not ask for:

  • photo uploads on product pages — our personalised items use typed text only;
  • dates of birth, ages or schools of the children whose names you type;
  • social media logins or access to your contacts;
  • your full card number, which stays with the payment provider;
  • passwords or card details by email — please never send them, and if you do by accident, we delete the message.

If a personalisation field asks for a year, that is only the year you want shown on the item, such as the year a family was established.

14. Children

Gift Willow sells gifts that often celebrate children, but our shop is meant for adults placing orders. We do not knowingly collect personal information directly from children. Children’s names appear only when an adult types them for personalisation, and are used only as described in section 3.

15. If you think something is wrong

If you believe we have handled your information incorrectly, please email us first so we can put it right. You also have the right to contact the privacy regulator where you live.

16. Visitors from other countries

Gift Willow is based in the United States. If you visit or order from Canada, Australia or New Zealand, your information is processed in the United States and by our service providers, who may be located in other countries. We protect it as described in this policy wherever it is processed.

17. Changes to this policy

If we change how we handle personal information, we update this page and the date at the top. Significant changes affecting existing customers will also be explained by email.
